The employees in your company are given the opportunity to photograph and / or update their personal employee photo at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.
The staff photos can be automatically adjusted to the optimal format, removed from disruptive elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in the same way as with a passport photo machine and read the instructions for the required actions on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The data recorded in this way are then a component of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal / external use of the recording.
After the photograph of the employee portrait, the background of the picture can be automatically exchanged for one or more backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The image is saved in a size and format specified by you (eg square for the ActiveDirectory). The name of the file is used to compare the saved photo and the in-house employee data record. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in various forms at the same time.

How did the staff get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, employees can choose between three different ways of receiving their photos digitally.
- Download from an offline gallery via QR code
The photobox provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the employee can copy his recordings. In contrast to the online gallery, this path only works in the direct vicinity of the photo box. - Entry of the email address at the end of the photo sequence.

At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original photo and the various versions for the various target systems.
