The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and / or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need extra employees on site.
You give your employees the option to always identify themselves 100% with their own employee photo.
The staff photos can be independently adapted to the ideal format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read in from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the photograph of the employee picture, the background of the recording can automatically be exchanged for one or various background settings you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format determined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
LinkedIn, WhatsApp & Co, the CRM system, Twitter, XING
etc. lying ready.
Of course, each file can also be “personalized” with company logos and / or the name and position of the employee will appear on the picture.

How does the employee get his photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new images, there are three different ways for employees to receive their photos digitally.
- Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can copy his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to copy down his or her original photo and the various formats for the different target systems.
