What should be achieved?

The employees in your company have the opportunity to create and/or update their individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos are automatically adjusted to the best possible format, removed from distracting elements in the background and, if desired, saved in a variety of dimensions and aspect ratios.

Our proposed solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the display.

The screen serves as a touch screen in parallel as an input terminal for the required data such as: B. Personnel number, name, family name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is immediately read from the employee ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the employee photo has been photographed, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location in the final image.

The recording is saved in a size and aspect ratio described by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen in parallel in different sizes.
So you always have the perfect photo for
Facebook, WhatsApp & Co, the CRM system, Twitter, Instagram, Outlook

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee can be included in the picture.

How did the staff get the photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, there are three different ways for employees to receive their picture digitally.

1. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's email inbox.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the employee must dial into.
   At the end of the sequence, a QR code appears on the screen. That QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this method only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the screen, which the employee can use to download their original recording as well as the different versions for the various target systems.

In order to get the most out of your investment, you have the following possible uses:

The cost frame

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
