The use of a photo box for employee photos
The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your staff the opportunity to fully identify themselves at any time with their individual employee photo.
The staff photos can be automatically adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
A suggested solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can simply be read from the business card. The employee data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a confirmation option for internal / external use of the recording.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved image and the in-house employee data record via the name of the file. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in parallel in different dimensions.

Logically, each file can also be “branded” with company logos and/or the employee's name and position can be included directly on the image.

How does the photographed person get his picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for employees to get their photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original recording and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's inbox. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
