The mission goal

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the opportunity to identify themselves to 100% at any time with their individual employee photo.

The personal photos can be automatically optimized to the optimal format, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is simply read from the employee ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be set up with a release option for internal / external use of the photo.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can happen in several sizes at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be included in the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for employees to get their photo as a file.

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy their original photo and the various sizes for the various target systems.
3. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's mailbox.

Other possible uses

In order to get the most out of your investment, you have the following options:

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for 650 € + 1 € / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
