The use of a photo box for employee photos
The employees in your company have the option to create and / or update their personal employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to always fully identify themselves with their own employee photo.
The staff photos are automatically adapted to the appropriate format, removed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary steps on the display.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can be read in immediately from the employee ID card. The data recorded in this way are then later an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
Following the recording of the employee portrait, the background of the picture can automatically be exchanged for one or more of the background settings you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). A comparison between the photographed image and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in several forms.

How does the employee get his photo?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to get their photos digitally.
- Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original image as well as the various versions for the various target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is sent immediately to the employee's mailbox.
