The use of a photo box for employee photos

The staff in your company are given the opportunity to photograph and/or update the personal employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that extra staff is not needed on site.
You give your employees the option to always identify themselves 100% with their personal employee photo.

The personal photos can be cut to the best format by machine, removed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.

Our proposed solution

You can position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a confirmation option for internal/external use of the recording.

After the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place simultaneously in various forms.

etc. lying ready.

Of course, each file can also be “personalized” using the company logo and/or the name and position of the employee will appear directly on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to also receive their photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to load their original recording and the different versions for the various target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Alternative deployment options

In order to get the most out of your purchase, you have the following options:

• Photo attraction at customer events & meetings
• Use at trade fairs to produce personalized “flyers”
• Creation of biometric passport photos and ID photos
• Photos of groups of visitors, for example after a presentation
• Employee photos (as already explained)
• Use at staff parties (summer party, Christmas party ...}

The need for investment

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
