The mission goal

The employees in your company get the chance to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your teams the chance to identify themselves to 100% around the clock with their individual employee photo.

The staff photos can be automatically cut to the appropriate format, detached from disturbing elements in the background and optionally saved in several formats and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data can be read directly from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a sharing option for internal / external use of the photo.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place simultaneously in different formats.
So you always have the right photo for
Twitter, XING, Outlook, Facebook
etc. at hand.

Of course, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee can be immediately included in the picture.

How does the employee get the photo?

So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the employee to get his picture as a file.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to copy his original photo as well as the different versions for the different target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photobooth provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

Further deployment options

In order to make the best possible use of your investment, you have the following options:

• Photos of groups of visitors, for example after a tour of the company
• Photo attraction at customer events & congresses
• Employee photos (as already explained)
• Recording of biometric passport photos and ID photos
• Use at employee parties (summer party, Christmas party ...}
• Use at trade fairs to create personalized “flyers”

The cost frame

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
