The mission goal

The employees in your company get the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the option to always fully identify themselves with their own employee photo.

The personal photos are automatically optimized to the best format, freed from annoying elements in the background and, if desired, saved in different sizes and aspect ratios.

The solution

You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the required steps on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is read in immediately from the company ID card. The data recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be displayed.

After the employee picture has been photographed, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image can be output in many formats at the same time.
So you always have the right photo for
the CRM system, Instagram, XING, WhatsApp & Co, Facebook
etc. within easy reach.

Of course, each file can also be "branded" using company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can save their recordings. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   The captured photo is sent directly to the employee's email address.

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
