The use of a photo box for employee photos

The employees in your company have the option of creating and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to fully identify themselves at any time with their own employee photo.

The personal photos can be independently cut to the ideal format, freed from disturbing elements in the background and, if desired, saved in various shapes and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, just like with a passport photo machine, and see the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can simply be read from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee report can be set up.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned in a defined position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the saved photo with the internal employee data record. We would be happy to support your IT department in specifying the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place synchronously in different dimensions.
So you always have the right photo for
Outlook, the CRM system, Instagram, LinkedIn, WhatsApp & Co
etc. at hand.

Of course, each file can also be “branded” with logos and/or the employee's name and position will be included in the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to get his photo digitally.

1. Enter the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy their original photo and the different formats for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
