What should be achieved?
The employees in your company get the chance to create and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that extra personnel are not needed on site.
You give your employees the option to fully identify themselves at any time with their individual employee photo.
The personal photos can be automatically adjusted to the best format, freed from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the display.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the company ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to support your IT department in specifying the connection.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen in different sizes at the same time.
So you always have the ideal photo for

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position can appear directly on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, the employee has three different ways to choose from to also receive his photo digitally.

Then the captured photo is immediately sent to the employee's inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.

The need for investment
The investment for the purchase of a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
