What should be achieved?

The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra staff are not required on site.
You give your employees the opportunity to always identify themselves to 100% with their individual employee photo.

The staff photos can be independently adapted to the appropriate format, removed from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.

One possible solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the display, similar to the photo booth.

The screen serves as a touchscreen in parallel as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a checkbox for internal/external use of the image.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or many of the backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to help your IT department specify the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in many formats at the same time.
So you always have the right photo for
Twitter, LinkedIn, Outlook, XING
etc. are available.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose to receive his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery where the employee can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the different target systems.

Other possible uses

To make the most of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
