The mission goal

The employees in your company have the option of creating and/or updating their individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your staff the option to always fully identify themselves with their individual employee photo.

The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and, if desired, saved in several sizes and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.

After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned at a defined position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). The name of the picture is used to compare the photographed picture and the internal employee data record. We would be happy to support your IT department in determining the connection.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in parallel in many dimensions.

etc. lying ready.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee can be included in the picture.

How do the staff get their picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to receive his photo as a file.

1. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to copy their original photo and the various versions for the various target systems.

Additional uses

In order to make the best possible use of the acquisition, you have the following options:

• Photos of groups of visitors, e.g. after a lecture

• Use at trade fairs to issue personalized “flyers”

The cost frame

The price for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
