The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the option to identify themselves around the clock to 100% with their own employee photo.
The staff photos are automatically adjusted to the appropriate format, freed from annoying elements in the background and optionally saved in a number of dimensions and aspect ratios.
One possible solution
You place a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the display, just like with the passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the recording can also be displayed.
After the photograph of the employee picture has been taken, the background of the picture can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison is made between the photographed portrait and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can be done synchronously in different dimensions.
So you always have the right photo for
LinkedIn, Facebook, XING, WhatsApp & Co, Outlook
etc. within easy reach.
Logically, each file can also be “personalized” with logos and/or the name and position of the employee will appear directly on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

The photo taken is sent directly to the employee's email address. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various versions for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Alternative uses
In order to get the most out of your investment, you have the following options:
- Photos of groups of visitors, for example after a presentation
- Creation of biometric passport photos and ID photos

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
