The mission goal
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your employees the opportunity to always identify themselves to 100% with their own employee photo.
The personal photos can be automatically optimized to the right format, removed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
A suggested solution
You position a photo booth optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, just like with the passport photo machine, and read the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal / external use of the photo can also be displayed.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in determining the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in various formats.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new pictures, there are three different ways for the employee to choose from to also receive their picture digitally.

The captured photo is immediately sent to the employee's inbox. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN, which the employee must dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download their original photo and the different versions for the different target systems.

To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
