What should be achieved?
The employees in your company have the chance to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You can position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary steps on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read out immediately from the employee ID card. The data collected in this way are then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can be set up with a release option for internal / external use of the employee profile.
After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or many of the backgrounds you have specified. The head of each photo is also determined, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved portrait and the in-house employee data record. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place simultaneously in several dimensions.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately visible on the picture.

How does the employee get his picture?
So that the CRM system or the ActiveDirectory alone does not benefit from the new recordings, employees can choose between three different ways of receiving their photo as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to load his or her original recording and the various versions for the various target systems. - Download from an offline gallery via QR code
The photobox provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can copy his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The investment for the acquisition of a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
