The use of a photo box for employee photos
The employees in your company have the option of photographing and/or updating their personal employee photo at a fixed location or at a periodically changing location (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.
The staff photos can be independently adapted to the best format, freed from disturbing elements in the background and, if desired, saved in different sizes and aspect ratios.
The solution
You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth and read the operating instructions for the necessary steps on the touchscreen, similar to the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the required data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read from the employee ID card. The data recorded in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the recording can also be displayed.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to help your IT department clarify the interface.
A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can happen at the same time to different degrees.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can also be visible on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photobooth provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent immediately to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to load his original recording and the various formats for the various target systems.

To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
