The mission goal

The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to always fully identify themselves with their own employee photo.

The personal photos are automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photobooth in the same way as with a passport photo machine and see the instructions for the necessary steps on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The data collected in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be set up.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in parallel in different dimensions.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get the photo?

So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the staff to choose to get their picture as a file.

  1. Download from an online gallery
    At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download the original photo and the different versions for the different target systems.
  2. Enter the email address at the end of the photo sequence.
    The photo taken is sent directly to the employee's email inbox.
  3. Download via QR code from an offline gallery
    The photo box provides its own WLAN which the staff has to dial into.
    At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which staff can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
