The use of a photo box for employee photos
The staff in your company get the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is achieved in the form of a self-service process and that you do not need additional staff on site.
This gives your workforce the option of fully identifying themselves around the clock with their personal employee photo.
The personal photos are automatically optimized to the appropriate format, removed from annoying elements in the background and optionally saved in various formats and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photo box and see the instructions for the necessary actions on the monitor, as with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the employee ID card. The data recorded in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the recording.
After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the stored portrait and the internal employee data record via the name of the picture. We would be happy to help your IT department specify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
Image output can take many forms synchronously.
So you always have the perfect photo for

etc. at hand.
Of course, each file can also be “branded” with company logos and/or the employee's name and position can be included directly on the image.

How does the employee get the picture?
To ensure that the CRM system or ActiveDirectory are not the only ones to get hold of the new photos, there are three different ways for the staff to choose to receive their photo digitally.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the different versions for the different target systems. - Download from an offline gallery via QR code
The photobooth provides a private WLAN that the staff has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost frame
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
