What should be achieved?

The staff in your company have the opportunity to create and/or update the personal employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your employees the opportunity to always fully identify themselves with their personal employee photo.

The personal photos are automatically cut to the appropriate format, freed from annoying elements in the background and optionally saved in a number of dimensions and aspect ratios.

The solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photobooth in the same way as with a passport photo machine and read the instructions for the necessary actions on the display.

The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After photographing the employee portrait, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the connection.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
The image output can take place at the same time in various dimensions.
So you always have the right photo for
LinkedIn, the CRM system, Instagram, Outlook, WhatsApp & Co
etc. at hand.

Of course, each file can also be “personalized” with logos and/or the employee's name and position will be immediately included in the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the staff to choose to get their picture as a file.

1. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where staff can download their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the various sizes for the different target systems.

In order to get the most out of your purchase, you have the following options:

The need for investment

The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
