The use of a photo box for employee photos
The staff in your company have the opportunity to create and / or update their personal employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos are automatically optimized to the best format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You can position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the company ID card. The employee data recorded in this way are then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head is also found for each photo, adjusted to a specified size and positioned on the final image at a defined position.
The image is saved in a size and format defined by you (eg square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department clarify the connection.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.

How do the staff get their picture?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, the staff can choose between three different ways to get their photo as a file.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery in which the staff can load their pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the staff can use to download the original image and the various sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent immediately to the employee's mailbox.
