What should be achieved?
The staff in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your staff the chance to always fully identify themselves with their individual employee photo.
The personal photos are automatically optimized to the ideal format, removed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the human resources department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary actions on the touchscreen, just like with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the required information such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a specified location on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the picture is used to compare the picture taken and the internal employee data record. We would be happy to support your IT department in determining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different forms at the same time.
So you always have the ideal photo for
WhatsApp & Co, Instagram, Outlook, LinkedIn
etc. ready.
Of course, each file can also be "branded" with company logos and/or the employee's name and position will also be visible on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to get their picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the different formats for the various target systems. - Download from an offline gallery via QR code
The Photobooth provides its own WLAN, which the staff must dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's e-mail inbox.
Other possible uses

The cost frame
The cost of purchasing a Photo Box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
Customer ratings
Since the system was implemented in 2019, two systems have been installed permanently in Germany and Zurich.
