The mission goal

The staff in your company are given the option to photograph and / or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your staff the option to identify themselves completely around the clock with their personal employee photo.

The staff photos can be automatically optimized to the ideal format, removed from disruptive elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data can simply be read from the company ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the image.

After the employee portrait has been recorded, the background of the recording can be automatically exchanged for one or more backgrounds that you have specified. The head is also analyzed for each photo, adjusted to a specified size and positioned on the final image at a defined point.

The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). The name of the image is used to compare the recorded image and the internal employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place at the same time in different dimensions.

Logically, each file can also be “branded” with the help of the logo and / or the name and position of the employee can be directly on the picture.

How does the staff get their photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the staff can choose between three different ways to get their picture as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to download the original image and the various sizes for the various target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the photo taken is sent directly to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photobox provides a private WLAN that the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which the staff can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

In order to make the most of your investment, you have the following options:

The need for investment

The price for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
