What should be achieved?

The staff in your company are given the opportunity to create and / or update their own employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your employees the option to always identify themselves to 100% with their individual employee photo.

The staff photos can be automatically cut to the best possible format, detached from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.

Our proposed solution

You position a photobooth set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary actions on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read in directly from the employee ID card. The employee data collected in this way then becomes an element of the file name of the employee photo taken.
Alternatively, a data protection screen can be set up with a confirmation option for internal / external use of the recording.

After the photo of the employee picture has been taken, the background of the picture can be automatically exchanged for one or more of the backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed on the final image at a defined point.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved image and the internal employee data record. We would be happy to support your IT department in determining the interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in different forms at the same time.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are also on the picture.

How does the employee get the photo?

So that not only the CRM system or the ActiveDirectory can enjoy the new photos, there are three different ways for the staff to choose to receive their picture digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the touchscreen, which the staff can use to download their original photo and the various versions for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the staff can save their photos. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box.

In order to make the best possible use of the acquisition, you have the following possible uses:

The need for investment

The cost of buying such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
