What should be achieved?

The staff in your company are given the opportunity to create and / or update their individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
You give your workforce the option to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in several shapes and aspect ratios.

One possible solution

You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to the passport photo machine, and see the instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or different backrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned on the final image at a specified location.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the internal employee data set. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different dimensions.

How do the staff get their picture?

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the staff has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery where the staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photobox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download the original image and the various sizes for the various target systems.

Alternative deployment options

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The cost of purchasing such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
