The use of a photo box for employee photos

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not required on site.
You give your employees the chance to identify themselves completely with their own employee photo at any time.

The personal photos are automatically cropped to the optimal format, removed from disturbing elements in the background and optionally saved in several shapes and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a sharing option for internal/external use of the photo.

After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a defined point on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different dimensions at the same time.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to also receive their photo digitally.

  1. Enter the email address at the end of the photo sequence.
    In doing so, the captured photo is immediately sent to the employee's mailbox.
  2. Download via QR code from an offline gallery
    The photo box provides a private WLAN that the staff has to dial into.
    At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the staff can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  3. Download from an online gallery
    At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original photo and the different formats for the various target systems.
