The mission goal
The staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the opportunity to identify themselves completely around the clock with their personal employee photo.
The personal photos can be automatically adjusted to the best format, detached from disturbing elements in the background and optionally saved in certain dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo booth in a similar way to the photo booth and see the instructions for the necessary actions on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured so that the data is read directly from the employee ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal/external use of the image.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the file. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen simultaneously in different forms.
So you always have the right photo for
XING, LinkedIn, Facebook, Outlook
etc. within easy reach.
Of course, each file can also be “branded” with the company's logo and/or the employee's name and position will be directly visible on the image.

How do the staff get their picture?
So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the staff to receive their photos digitally.
- Download via QR code from an offline gallery
The photobox provides a private WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to download their original image and the different sizes for the different target systems.
Alternative deployment options
To get the most out of your investment, you have the following possible uses:
- Recordings of groups of visitors, e.g. after a tour
- Recording of biometric passport photos and ID photos
- Use at staff parties (summer party, Christmas party ...}
- Employee photos (as already explained)
- Use at trade fairs to issue personalized “flyers”
The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
