What should be achieved?
The staff in your company are given the option to photograph and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your staff the chance to identify themselves to 100% around the clock with their personal employee photo.
The staff photos are automatically cut to the optimal format, removed from disruptive elements in the background and, if desired, saved in certain dimensions and aspect ratios.
Our proposed solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, similar to the passport photo machine, and see the instructions for the required actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the employee ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the image.
After the photo of the employee has been photographed, the background of the recording can be automatically exchanged for one or different backgrounds you have specified. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the saved photo and the internal employee data record. We would be happy to support your IT department in clarifying the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in different dimensions at the same time.

Of course, each file can also be “branded” with a company logo and / or the name and position of the employee are immediately shown on the picture.

How does the employee get his photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the staff can choose between three different ways to receive their photos digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the staff can use to download the original photo and the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery in which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
In order to make the best possible use of your investment, you have the following options:

The need for investment
The cost of buying a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
