What should be achieved?

The staff in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.

The personal photos are automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the monitor, as with the passport photo machine.

The monitor serves as a touch screen and as an input terminal for the necessary information, e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data is simply read in from the employee ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.

After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place simultaneously in different dimensions.
So you always have the right photo for
Outlook, the CRM system, Facebook, LinkedIn, Twitter
etc. are available.

Of course, each file can also be "personalized" with logos and/or the name and position of the employee will be included in the image.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, the staff can choose between three different ways to receive their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where staff can download their shots. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different versions for the different target systems.
3. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the email address of the employee.

Alternative uses

To get the most out of your investment, you have the following options:

• Use at staff parties (summer party, Christmas party ...}
• Photo attraction at customer events & meetings
• Photos of groups of visitors, for example after a tour of the company
• Employee photos (as explained above)
• Production of biometric passport photos and ID photos

The need for investment

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
