The use of a photo box for employee photos
The staff in your company have the opportunity to photograph and / or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.
The staff photos can be automatically cut to the optimal format, freed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to a passport photo machine, and see the operating instructions for the required actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required data such as B. ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read in from the employee ID. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
Following the recording of the employee portrait, the background of the picture can be automatically exchanged for one or many of the backgrounds you have specified. The head is also determined for each photo, adjusted to a specified size and placed on the final image at a specified location.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The file name is used to compare the captured image and the internal employee data record. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in different sizes at the same time.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the photographed person get the photo?
So that not only the CRM system or the ActiveDirectory come into possession of the new photos, there are three different ways for staff to choose to receive their image digitally.
- Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the staff can copy their pictures. In contrast to the online gallery, this path only works in the direct vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the staff can use to copy down their original photo and the various formats for the various target systems.

Of course, there is also the option of testing the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
