The use of a photo box for employee photos

The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your workforce the chance to identify themselves to 100% at any time with their personal employee photo.

The personal photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box like in a passport photo machine and read the instructions for the necessary actions on the touchscreen.

The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the employee ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can be in many forms simultaneously.
So you always have the ideal photo for

etc. are available.

Of course, each file can also be “personalized” with logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   The captured photo is then sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the staff can use to load their original recording and the different sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the staff must dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the staff can load their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is already worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
