The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra staff is not needed on site.
You give your workforce the chance to always identify 100% with their own employee photo.
The personal photos are automatically optimized to the best possible format, freed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.
The solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is immediately read from the employee ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the photo can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to help your IT department determine the interface.
A biometric check and an adaptation to a biometric ID photo are also available.
The image output can happen in parallel in different formats.

Logically, each file can also be “personalized” with logos and/or the name and position of the employee will be included in the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the staff to get their picture as a file.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the staff can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the staff can use to load their original photo and the different sizes for the different target systems.
