What should be achieved?
The staff in your company have the opportunity to photograph their own employee photo and/or update it at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your teams the option to always fully identify themselves with their own employee photo.
The staff photos can be independently adapted to the appropriate format, freed from disturbing elements in the background and optionally saved in a number of sizes and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a photo booth, and read the instructions for the necessary steps on the display.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be set up.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in several dimensions.

Of course, each file can also be "branded" with company logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get his picture?
So that it is not just the CRM system or the Active Directory that gets the benefit of the new images, there are three different ways for the staff to choose from to also receive their image digitally.

In this case, the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery in which staff can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various formats for the different target systems.
Alternative deployment options
In order to make the best possible use of your investment, you have the following options:
- Recording of biometric passport photos and ID photos
- Use at trade fairs to produce personalized “flyers”

The need for investment
The price for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
