What should be achieved?
The staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your workforce the opportunity to identify themselves to 100% around the clock with their own employee photo.
The staff photos can be automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
The solution
You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in the same way as with the passport photo machine and see the instructions for the necessary steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read from the employee ID card. The employee data collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be set up.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the file name. We would be happy to help your IT department clarify the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in many sizes.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position can be directly visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to receive their photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to copy their original image and the different sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail inbox. - Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the staff can load their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other deployment options
In order to get the most out of your investment, you have the following options:

The cost frame
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
