The use of a photo box for employee photos
The staff in your company are given the opportunity to create and / or update the individual employee photo at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The staff photos can be optimized automatically to the best possible format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary steps on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The employee data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the employee portrait has been taken, the background of the picture can be automatically exchanged for one or different backgrounds you have specified. The head of every photo is also analyzed, scaled to a specified size and positioned on the final image at a defined point.
The image is saved in a size and aspect ratio that you specify (e.g. square for the ActiveDirectory). A comparison between the photographed photo and the internal employee data record takes place via the name of the picture. A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different formats at the same time.

How does the employee get the photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for staff to choose to receive their photo digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed out on the touchscreen, which the staff can use to copy down their original photo and the different versions for the different target systems. - Enter the email address at the end of the photo sequence.
The captured photo is then sent to the employee's mailbox. - Download via QR code from an offline gallery
The photobox provides a private WLAN that the staff must dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
