The use of a photo box for employee photos

The staff in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that you do not need additional staff on site.
You give your staff the option to always identify 100% with their personal employee photo.

The staff photos are automatically optimized to the ideal format, removed from disruptive elements in the background and optionally saved in many dimensions and aspect ratios.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees are allowed to stand in front of the photo box, similar to a passport photo machine, and read the operating instructions for the required actions on the screen.

The screen serves as a touchscreen in parallel as an input terminal for the required information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or various background settings you have specified. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The image will be saved in a size and aspect ratio determined by you (eg square for the ActiveDirectory). The file name is used to compare the photographed image and the in-house employee data set. We would be happy to help your IT department clarify the import interface.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in several sizes at the same time.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee will be visible on the picture.

How does the photographed person get his picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, there are three different ways for staff to get their picture digitally.

1. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the staff has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the staff can load their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's email address.
3. Download from an online gallery
   At the end of the recording, a code is displayed or printed out on the touchscreen, which the staff can use to copy down their original photo and the various versions for the various target systems.

Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
