What should be achieved?

The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not required on site.
You give your teams the chance to identify themselves to 100% at any time with their personal employee photo.

The personal photos are automatically optimized to the right format, removed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the operating instructions for the necessary steps on the display, just like with the passport photo machine.

The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data is read directly from the employee ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.

After the employee picture has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned at a defined point on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in parallel in several sizes.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the staff can use to copy their original photo and the various formats for the various target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the photo taken will be sent immediately to the employee's email address.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the staff must dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The cost of purchasing a Photo Box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
