The use of a photo box for employee photos
The staff in your company have the option of creating and/or updating their own employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to fully identify themselves at any time with their own employee photo.
The staff photos can be independently optimized to the right format, removed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
One possible solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box like they would at a passport photo machine and read the operating instructions for the necessary actions on the display.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the saved photo with the in-house employee data record. We would be happy to support your IT department in defining the connection.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in many formats at the same time.

Of course, each file can also be “personalized” using company logos and/or the name and position of the employee can be immediately visible on the image.

How does the employee get his picture?
So that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for the staff to choose from to get their picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to load their original image and the various sizes for the various target systems. - Enter the e-mail address at the end of the photo sequence.
The captured photo is sent immediately to the employee's mailbox. - Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the staff must dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
