The use of a photo box for employee photos
The staff in your company have the option of creating and/or updating their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your teams the option to fully identify themselves at any time with their personal employee photo.
The staff photos can be automatically adapted to the appropriate format, removed from disturbing elements in the background and, if desired, saved in various sizes and aspect ratios.
A suggested solution
You place a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the display, similar to the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read in immediately from the employee ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the recording.
After the photograph of the employee portrait, the background of the recording can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place synchronously in various sizes.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position can be included in the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory can enjoy the new images, there are three different ways for the staff to get their image as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various sizes for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery from which staff can download their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo will be sent directly to the employee's inbox.
Additional uses

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 or more employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is purchased immediately.
