What should be achieved?
The field staff in your company are given the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional staff are not needed on site.
You give your staff the opportunity to identify themselves around the clock to 100% with their own employee photo.
The personal photos can be independently optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in a number of shapes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the monitor, similar to the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the image.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and positioned at a defined point on the final image.
The image is saved in a size and format you define (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place synchronously in many dimensions.

Logically, each file can also be “branded” with company logos and/or the employee's name and position will be immediately included in the image.

How does the photographed person get the picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the sales representative to choose from to also receive their image as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the field worker can use to load his original photo and the different sizes for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN into which the sales representative must dial.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the sales representative can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email address.
Alternative deployment options
In order to make the best possible use of your investment, you have the following options:

- Production of biometric passport photos and ID photos
- Pictures of groups of visitors, e.g. after a presentation

The need for investment
The cost of purchasing a customized photo box starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
