What should be achieved?
The field staff in your company get the chance to photograph and/or update the personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.
The personal photos are automatically optimized to the optimal format, freed from disturbing elements in the background and, if desired, saved in certain dimensions and aspect ratios.
A suggested solution
You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the monitor, just like with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read immediately from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee report can be set up.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a defined point on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in several forms at the same time.

Of course, each file can also be "branded" with a company logo and/or the name and position of the employee can be directly visible on the image.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new photos, the sales representative can choose between three different ways to receive his picture as a file.

In this case, the captured photo is sent immediately to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN that the sales representative has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where the sales representative can download his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed, which the field worker can use to copy his original photo and the various sizes for the various target systems.

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
