The use of a photo box for employee photos
The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their own employee photo.
The staff photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, just like at a passport photo machine, and read the instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the employee profile.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different dimensions at the same time.
So you always have the ideal photo for
XING, Instagram, LinkedIn, Twitter, Outlook, the CRM system
etc. ready.
Of course, each file can also be “personalized” with logos and/or the employee's name and position will be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to receive his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to load their original photo and the various formats for the different target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
Additional uses
In order to make the best possible use of the acquisition, you have the following options:
- Photo attraction at customer events & meetings
- Use at trade fairs to produce personalized “flyers”
- Employee photos (as already described)
- Production of biometric passport photos and ID photos
- Recordings of groups of visitors, for example after a presentation
- Use at employee parties (summer party, Christmas party ...}
The cost frame
The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over directly.
