What should be achieved?
The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that you do not need additional personnel on site.
You give your staff the chance to always fully identify themselves with their own employee photo.
The personal photos are automatically optimized to the best format, removed from annoying elements in the background and optionally saved in many formats and aspect ratios.
Our proposed solution
You position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read directly from the business card. The information recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the image can also be set up.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the in-house employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place synchronously in different formats.
So you always have the best possible photo for
the CRM system, Facebook, XING, Twitter, WhatsApp & Co, LinkedIn
etc. within easy reach.
Logically, each file can also be “personalized” with a company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to choose from to also receive their photo as a file.
- Entry of the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy their original photo and the various sizes for the different target systems.
Other uses
In order to make the best possible use of your investment, you have the following options:
- Photo attraction at customer events & conferences
- Use at employee parties (summer party, Christmas party ...}
- Photos of groups of visitors, e.g. after a tour of the company
- Use at trade fairs to produce personalized “flyers”

The cost frame
The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
