What should be achieved?
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the opportunity to identify themselves around the clock to 100% with their own employee photo.
The staff photos can be automatically adjusted to the best format, removed from annoying elements in the background and saved in various shapes and aspect ratios if desired.
Our proposed solution
You position a photobox set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is simply read in from the company ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a confirmation option for internal/external use of the photo.
After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the connection.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place synchronously in different forms.
So you always have the right photo for

Of course, each file can also be "branded" with company logos and/or the name and position of the employee will be included in the image.

How does the photographed person get the photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to get their picture as a file.
- Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
