The use of a photo box for employee photos
The employees in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the chance to identify themselves to 100% around the clock with their individual employee photo.
The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.
One possible solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and see the operating instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read directly from the company ID card. The data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the connection.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place in parallel in various forms.

Of course, each file can also be “personalized” with the help of the logo and/or the employee's name and position will be included in the image.

How does the employee get the picture?
So that the CRM system or ActiveDirectory alone does not benefit from the new photos, there are three different ways for employees to get their photos digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.

At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original photo and the different formats for the various target systems.
Additional deployment options
To get the most out of your investment, you have the following options:
- Photos of groups of visitors, for example after a presentation

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Zurich.
