What should be achieved?
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
You give your employees the option to identify themselves completely around the clock with their own employee photo.
The staff photos are automatically adjusted to the optimal format, freed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the passport photo machine and see the operating instructions for the necessary actions on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The employee data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be set up.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison is made between the saved image and the in-house employee data record via the name of the image. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image can be output in several dimensions at the same time.
So you always have the best possible photo for

Of course, each file can also be “personalized” with logos and/or the name and position of the employee will be immediately visible on the image.

How did the staff get the photo?
So that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for the employee to choose to also receive their image as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the various sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an offline gallery via QR code
The Photobooth provides its own WLAN, which the employee must dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Production of biometric passport photos and ID photos
- Employee photos (as already described)
- Use at employee parties (summer party, Christmas party ...}
- Use at trade fairs to create personalized "flyers"

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
