The mission goal

The employees in your company get the opportunity to create and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra personnel are not required on site.
This gives your employees the option of fully identifying themselves around the clock with their personal employee photo.

The staff photos are automatically cut to the right format, removed from disturbing elements in the background and optionally saved in a number of sizes and aspect ratios.

The solution

You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth and see the instructions for the necessary steps on the touchscreen, just like with the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The employee data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in parallel in different dimensions.
So you always have the best photo for
LinkedIn, XING, the CRM system, Outlook, Twitter
etc. are available.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee will appear directly on the image.

How did the staff come to the picture?

So that it is not just the CRM system or the Active Directory that gets the benefit of the new photos, there are three different ways for the employee to choose from to get his photo as a file.

  1. Download via QR code from an offline gallery
    The photobooth provides a private WLAN which the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  2. Enter the e-mail address at the end of the photo sequence.
    The photo taken is sent directly to the employee's mailbox.
  3. Download from an online gallery
    At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy their original photo and the various sizes for the various target systems.

The cost frame

The price for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
