The use of a photo box for employee photos
The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the chance to identify themselves completely around the clock with their own employee photo.
The staff photos can be automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will sit down in front of the photo booth, similar to a passport photo machine, and see the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The data recorded in this way are then later an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been recorded, the background of the recording can be automatically replaced with one or more backgrounds that you have specified. The head is also determined for each photo, scaled to a specified size and positioned on the final image at a defined point.
The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in many dimensions at the same time.
So you always have the best possible photo for

etc. at hand.
Of course, each file can also be “branded” with company logos and / or the name and position of the employee are immediately visible on the picture.

How does the photographed person get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, employees can choose between three different ways to get their photo as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his or her original recording and the various versions for the various target systems.

The need for investment
The cost of purchasing a photobox adapted in this way starts at around € 4,400 plus VAT and pays off for businesses with around 100 employees.
Of course, there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.

Since the system was introduced in 2019, two photo boxes have been permanently installed in this country and in Zurich.
