The mission goal

The employees in your company are given the opportunity to photograph and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that extra employees are not needed on site.
You give your employees the chance to identify themselves completely at any time with their personal employee photo.

The staff photos can be independently optimized to the appropriate format, removed from disruptive elements in the background and optionally saved in various formats and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo booth, similar to a passport photo machine, and read the instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, name, family name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The employee data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the image.

After the photo of the employee's picture has been taken, the background of the recording can automatically be exchanged for one or more backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed at a specified position on the final image.

The image is saved in a size and format that you have specified (e.g. square for the ActiveDirectory). A comparison is made between the photographed photo and the in-house employee data set via the name of the picture. We would be happy to help your IT department clarify the connection.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place simultaneously in various forms.

Of course, each file can also be “branded” with company logos and / or the name and position of the employee are directly visible on the picture.

How does the employee get his photo?

So that not only the CRM system or the ActiveDirectory comes into possession of the new recordings, there are three different ways for the employee to receive his picture digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to download his or her original recording and the various sizes for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can save his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.

The cost frame

The price for buying a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
