The mission goal
The employees in your company are given the opportunity to create and/or update their individual employee photo at a fixed location or at regularly changing locations (e.g. in the canteen or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra personnel on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.
The staff photos can be independently cut to the best possible format, removed from annoying elements in the background and, if desired, saved in several sizes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data can simply be read from the company ID card. The information collected in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the recorded image and the in-house employee data record via the file name. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen simultaneously in various formats.
So you always have the right photo for
LinkedIn, the CRM system, Outlook, Twitter, XING, Facebook, WhatsApp & Co, Instagram
etc. ready.
Logically, each file can also be “personalized” with the help of the company logo and/or the employee's name and position will appear directly on the image.

How does the employee get their photo?
So that not only the CRM system or the Active Directory can benefit from the new pictures, there are three different ways for the employee to choose to receive their picture as a file.
- Download via QR code from an offline gallery
The Photo Box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the photo taken will be sent immediately to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to copy down his or her original photo and the various sizes for the various target systems.

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
